Case Study: Oakwood Women's Centre

The Challenge

Oakwood Women's Centre is an established OB/GYN clinic in Round Rock, Texas. The clinic had been surviving for quite some time using an outdated Web site that didn't do much for the business. Oakwood needed a Web site that not only presented its services in a nurturing way, but allowed patients to request appointments online, fill out patient history forms and sign up for classes. Solving these challenges meant that the Web site would not only look great, but would make a positive impact on the clinic's business processes.

The Process

Our Development Team worked closely with all staff members of Oakwood Women's Centre to clearly define goals for the new site. We all decided that the site must look professional and offer online services to patients. These online services would make using the clinic convenient for patients and would cut down on administrative time for Oakwood's staff by making business processes more efficient.

Our Design Team put together design concepts that presented all the necessary information in a user-friendly way. After the design was completed and all static content was plugged in, our Development Team went to work developing several key features. These features included:

  • An online appointment request form that allows current patients and new patients to request appointments in a secure online environment.
  • A new patient registration form. This form allows new patients to fill out all necessary "paperwork" in the comfort of their own home.
  • A class registration form that allows patients to sign up for the "Special Delivery" class that Oakwood offers.

The Benefits

Not only is information on the Web site usable and easy to find, the online forms create an interactive experience that benefits both patients and the staff of Oakwood. Since important information is readily available, Oakwood staff members spend less time answering questions and when patients come in for an appointment the "paperwork" is already filled out.

The Results

Since patients fill out the necessary forms ahead of time, this results in less people in the waiting room and patients don't have to wait as long before getting in to see the doctor. For the Oakwood staff, patient information is sent electronically, making data entry easy. This saves time and frees up the staff to concentrate on more important activities. Overall, this site has been a major benefit to Oakwood's business - it's more convenient for patients to work with the clinic and business processes run smoother for the staff.
